Update bulk bookings for all accommodation in advance (annually). Make sure all bulk bookings are in place, and alternatives if needed. Record alternatives and when more than one booking in place to ensure that correct bookings are sent and / or cancelled. Send final rooming lists to accommodation establishments 1 month before tour departure. Responsible for final rooming, tour funds, res lists etc. Find alternative accommodation when required. Advise marketing department of any changes to accommodation booked for a tour code, 4 weeks in advance
Book pre and post tour accommodation when requested. Draw up reservations lists and tour funds for tours. Cancel tours as instructed, sent our emails and confirm receipt thereof. Cancel tours in bulk bookings files. Check all accommodation paper work for guided to take on tour. Go through paperwork and tour details before tour departs. Follow up on outstanding invoices for tours departing in less than a monthly weekly, after sending final rooming.
Continuously check all bookings are in place for the year and follow up on outstanding bookings. Check invoices received are correct according to dates booked, number of rooms, clients and rates charged. Assist in creating passenger lists for final rooming for tours departing in 5 weeks. Assist to arrange and apply for Namibia Work Permits. Answer the telephone / gate intercom. Incident reporting to marketing department
Experience in similar position.
Good admin skills.
Own transport preferred.
